Buyer's guide

How to choose the best POS for a retail store.

Retail POS lives or dies on inventory. A system that rings up a sale beautifully but can't handle variants, transfers and stock counts will cost you more in manual reconciliation than it ever saved at the till.

In short

The best retail POS for your store is the one that matches your inventory complexity, not the one with the longest feature list. Check variant and barcode handling, multi-store stock transfers, purchase orders, stocktake tools, loyalty, offline mode and data export. Test those with your own catalogue before signing any contract.

Start with your inventory, not the checkout screen

  • Variants — size, colour, flavour, pack size. Ask how many attribute levels the system supports and how variants appear on the receipt.
  • Barcodes — can you print your own labels, scan supplier barcodes, and handle the same product with two different codes?
  • Purchase orders and receiving — does stock update automatically when a delivery is received, including partial deliveries?
  • Stocktake — can staff count on a handheld while the store is open, or does counting require closing?
  • Multi-store — real-time stock visibility across locations, plus transfers with an audit trail.

Checkout features that actually matter day to day

  • Split payment, partial refund, exchange and store credit handled without a manager override every time.
  • Layaway or deposits if you sell high-ticket items.
  • Customer lookup at the till — purchase history, points balance and contact details in one screen.
  • Fast product search by name, code and scan, in the language your staff actually use.
  • Offline mode so you keep selling when the connection drops.

Loyalty and repeat purchase

In retail the margin is in the second visit. A loyalty program tied to the POS lets you see which SKUs bring people back, run targeted promotions on slow stock, and issue gift cards that redeem across every location. If loyalty is a separate app that doesn't share the customer record with the till, you will end up maintaining two databases.

What to test before you sign

  • Load 20 of your real SKUs, including your most awkward variant, and ring them through.
  • Process a return and an exchange, then check what the report shows.
  • Pull the reports you actually use — daily sales, margin by category, slow movers — and see if the numbers reconcile.
  • Unplug the network mid-transaction and confirm the sale completes.
  • Ask for a full CSV export of products, sales and customers. If you can't get one, that's your answer.

Where POS KING fits

We deploy retail POS for grocery, gift, apparel, convenience and specialty shops, including multi-location operators who need consolidated stock and reporting. Installation, catalogue build and staff training are part of the deployment, and support runs in English, Chinese, Japanese and Hindi with local crews who can be on site rather than only on a phone line.
